Privacy policy

We built Openy to handle buyer and vendor information with care. This policy explains, in plain English, what we collect, why, and the choices you have.

1. Who we are

Openy is software that real estate agencies use to run open home sign-ins, collect buyer feedback and share live vendor reports. In this policy, “Openy”, “we” and “us” mean the operator of the Openy service, based in Melbourne, Victoria.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Agencies, buyers and vendors

Openy is used by two groups of people, and our role is different for each.

  • Agents and agencies (our customers). When you create an Openy account, we collect and manage your information to provide the service. This policy applies directly.
  • Buyers and vendors. When you sign in at an open home, leave feedback or view a vendor report, the real estate agency running that property collects your information and decides how it is used. Openy stores and processes it on the agency's behalf. The agency's own privacy policy also applies, and you can contact the agency directly about your information.

We never sell personal information, and we never use buyer or vendor information to market our own services to them.

3. What we collect

From agents and agencies: name, work email, mobile number, job title, agency name and team members, listing details, notes you write, billing details (handled by Stripe, see below) and records of how you use the service, such as sign-in times.

From buyers at an open home: first and last name, mobile and email, the kind of buyer you are (for example first home buyer or investor), whether you need to sell first, whether you agreed to receive updates about the home and whether you asked to hear about similar homes, how many times you have visited, and any text message replies you send to the agency.

From buyer feedback: how interested you are, what you liked, any concerns, comments you choose to write and whether you asked for the contract of sale.

From vendors: names and contact details that the agent enters so they can send you your report.

Technical information: such as your browser type and IP address, which our hosting providers log to keep the service secure and working.

4. How we use it

We use personal information to:

  • provide Openy, including sign-ins, feedback forms, dashboards and vendor reports
  • send the data an agency chooses to connect to its other tools, such as its CRM
  • create and manage accounts, process payments and send service emails such as sign-in links and receipts
  • keep the service secure, prevent misuse and fix problems
  • meet our legal obligations

Vendor reports show buyer feedback without buyer names. Agents at the agency running a listing can see full buyer details. Other agencies cannot.

5. Who we share it with

We use a small number of trusted service providers to run Openy:

  • Supabase, our database and sign-in provider. Openy's database is hosted in Sydney, Australia.
  • Vercel, which hosts the Openy website and app.
  • Stripe, which processes subscription payments. We never see or store full card numbers.
  • Photon by Komoot, which suggests addresses when an agent types a property address. Only the address being typed is sent.
  • ClickSend, an Australian text message provider, which sends texts such as feedback links and receives replies.
  • Resend, which sends emails such as sign-in links, alerts and account emails.
  • Open-Meteo, which provides weather forecasts for open homes. Only the suburb name is sent.
  • Google Fonts, which serves the typeface used on our pages.
  • Vercel Web Analytics, which counts page visits so we can improve the website. It does not use cookies, and it does not identify you or follow you across other sites.

If an agency connects Openy to another tool (for example Zapier, Make, a CRM or a webhook), we send the information the agency has chosen to that tool. That tool's own privacy terms then apply.

We may also disclose information if the law requires it, or to protect the rights and safety of people using Openy.

6. Storing data overseas

Openy's database is in Australia. Some of our providers, including Vercel, Stripe, Resend and Komoot, may process information in other countries such as the United States and Germany as part of providing their services. We choose providers with strong security and privacy commitments and take reasonable steps so that they handle information consistently with the APPs.

7. Keeping it secure

Information is encrypted in transit, access is separated so each agency can only see its own data, and staff access is limited to what is needed to run and support the service.

No system is perfectly secure. If a data breach is likely to cause serious harm, we will notify affected people and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme, and work with affected agencies.

8. How long we keep it

We keep information for as long as the agency's account is active, or until the agency deletes it. Deleting a listing permanently deletes its sign-ins, feedback and offers. When an account is closed, we delete its data within 90 days, unless we need to keep some records, such as billing records, to meet legal obligations.

9. Access, correction and deletion

You can ask to access or correct personal information we hold about you, or ask us to delete it.

  • Agents can update most details in Settings, or email us at hello@openy.com.
  • Buyers and vendors should contact the agency that collected your details first, as they control that information. You can also email us and we will pass your request on and help the agency respond.

We will respond within 30 days. We may need to confirm your identity first.

10. Texts, emails and marketing

Agencies can use Openy to text buyers a link to give feedback on a home they inspected, and to send contract and update messages. Texts about other homes are only sent to buyers who ticked the separate option to hear about similar homes, or agreed to updates.

Every marketing text includes “Reply STOP to opt out”. A STOP reply stops texts from that agency through Openy. Other replies are shown to the agency so they can respond. Agencies remain responsible for following the Spam Act 2003 when they contact buyers.

Openy emails agents about their account and the service. During a free trial we also send a few tips, which you can turn off with the link in any of them.

11. Cookies

Openy uses essential cookies to keep agents signed in. Our visitor analytics are cookie-free and only produce totals, such as how many people viewed a page or started the demo. To count steps without double counting, we keep a random number in your browser for that tab only. It is not linked to your name or account, and it disappears when you close the tab. We do not use advertising cookies or third-party tracking.

12. Questions and complaints

If you have a question or a complaint about how we handle personal information, email hello@openy.com. We will acknowledge it within 5 business days and aim to resolve it within 30 days.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

We may update this policy as Openy changes. We will post the new version here, and let agencies know about significant changes.
